Challanges & initial situation
The frischli Milchwerke GmbH was faced with the challenge of efficiently coordinating the purchase of corrugated cardboard for its company locations throughout Germany.
Previously, the tendering process was carried out manually by the purchasing team, which was not only time-consuming but also tied up a lot of internal resources. More than 350 different corrugated cardboard items had to be managed and integrated into the tendering process, which led to a high level of complexity and which is why a digital and structured solution was required.

Goals of the cooperation
Packaging optimization: Implementation of targeted packaging optimization together with the PAXLY experts in order to identify potential savings and create a sound basis for decisions such as cost savings, standardization and harmonization.
Market overview: Ensuring an up-to-date market overview of suitable suppliers for frischli.
Optimization of the tendering process: Long-term digitization of all article data and its management in the PAXLY software in order to achieve sustainable process optimization and, in particular, to reduce internal costs.
Special feature: In the first year of this project, PAXLY provides consulting services for the entire tendering process and renegotiations using PAXLY software in order to optimize the process and secure market prices.
Formation of article clusters: Structuring the more than 350 corrugated board articles together in meaningful clusters to simplify the tendering process and make it more transparent.
A central goal of the collaboration with PAXLY was the digitalization and qualification of the data. The PAXLY software was to be used to efficiently record and centrally manage all relevant article data. This should optimize the entire tendering process in the long term and create a clear, structured database that enables frischli to increase transparency and efficiency in purchasing.
Another key concern was packaging optimization, which was carried out as a targeted consulting service by PAXLY. With the help of a step-by-step model, detailed potential savings in euros were identified so that frischli could make well-founded commercial decisions. This analysis served to harmonize and optimize the packaging, which should lead to long-term cost savings and more efficient procurement.
In addition, the aim was to hand over the entire tender to the PAXLY experts in the current year. PAXLY took over the execution of the tenders and the renegotiations in order to find the right suppliers for frischli and to obtain a comprehensive market overview. This process helped frischli to identify the best offers and increase efficiency in purchasing, while at the same time minimizing internal costs.
THE RESULTS - What did it achieve?
In cooperation with PAXLY, frischli relied on a combination of PAXLY software and consulting services to comprehensively optimize the purchase of corrugated board. PAXLY carried out a detailed packaging optimization in which savings potentials of 5 - 10 % were identified. With the help of a step-by-step model, frischli received a well-founded decision-making basis for the standardization and optimization of packaging.
Another key result was the digitalization of the tendering process. All relevant article data was recorded and managed centrally in the PAXLY software. This led to a considerable reduction in internal effort and made the process transparent and efficient.
Particularly noteworthy is the implementation of the tenders in the first year, which was handled entirely by the PAXLY experts. Thanks to the targeted support in the tenders and renegotiations, frischli was able to achieve savings of over
20%. The comprehensive market overview provided by PAXLY enabled frischli to select the best suppliers and at the same time benefit from competitive offers.
In summary, the measures led to a significant optimization of the purchasing process, reduced costs and improved market transparency. The results confirm that frischli was able to increase efficiency and achieve long-term sustainable success by using PAXLY.
